Member portal

Every member sees what matters to them

Member data in a CRM, registrations in Excel, the newsletter in Mailchimp, the working groups on WhatsApp. Five tools that don’t know each other — and nobody who still knows who needs to know what. One member portal brings it together: targeted communication per role or working group, and every group with its own space for documents, tasks and minutes.

For whom
Associations, federations, non-profits and professional networks
What you do
Define your groups and roles. After that, the system picks the recipients.
What happens
Every message and every document reaches the right members

Your organisation runs on five tools that don’t know each other

“The newsletter goes to everyone. So nobody reads it any more.”

“The working group is in a WhatsApp group. Anyone who joins later misses everything.”

“Who was in which working group again? Marleen knows.”

As long as your operation is spread across separate tools, you lose three things at once: structure, knowledge and engagement. Members drop out because they don’t know where to look — or because they receive too much that isn’t meant for them.

How it works

One record, targeted messages, dedicated working groups

1

Offiks.ai brings it together: one record per member

Details, role, membership and fee, the documents the member signed, the activities they registered for and the groups they belong to: Offiks.ai brings it all together on one record. One click shows everything — instead of opening three systems and asking someone who still remembers.

2

Offiks.ai delivers: every message to the right members

You don’t send to the entire member list, but to a role, a working group or an interest — Offiks.ai picks the right recipients itself. Whoever is in the PR working group gets the PR messages; the board gets the board papers. Members choose what they want to be notified about, and the news is on the portal — so it can also be found by anyone who missed the email.

3

Offiks.ai organises: every working group its own space

Board, PR, a project team, a temporary events committee: Offiks.ai gives every group its own documents, tasks, minutes and attendance, with permissions that belong to that group. External members — an adviser, a partner, a volunteer without a Microsoft account — can join without getting access to the rest of your organisation.

What it delivers

Three things your board notices straight away

A membership organisation is only as strong as its communication. The gain isn’t in sending more, but in making sure what you send actually gets read.

01

Messages that do get read

Because they only go to those they concern. Anyone not in the PR working group doesn’t receive the PR discussion — and so does read the message that is meant for them.

02

Working groups that endure

The knowledge stays with the group, not in a chat history or someone’s mailbox. Whoever joins next year simply reads what was decided — and whoever leaves doesn’t take the file with them.

03

Nobody is the single point of contact any more

Who is in which group, who has paid their fee, which document a member signed: it is simply there. That makes your organisation less dependent on the one volunteer who keeps everything in their head.

And more

What else is attached to that record

Communication and working groups are the reason to start. This comes along naturally, because everything is linked to the same member.

Registration

Activities without Excel

Information evening, training or general meeting: members register online, automatically receive their confirmation, and the organiser has their list without chasing anyone.

Storage

Articles, minutes, contracts

Everything in one place and searchable by attributes, linked to the right member or working group. With version control, so you know which version is the latest.

Access

Everyone only sees their part

Volunteers, external members, temporary partners or an ad hoc committee: you give access to what is needed, and not to the rest. And you can take it away again when the project ends.

Overview

Figures that add up

How many members, how many have already paid, who came to which activity. Because everything is in one place, the report is a matter of looking rather than collecting.

Our advice: start with one working group

Take the group with the most frustration — usually the one with the busiest WhatsApp — and move it over first. You immediately see what you need in terms of documents, permissions and messages, without migrating your entire member list. Once it works there, the other groups follow naturally.

What you should know

Targeted communication only works as well as your member list: roles and groups have to be correct, or you will neatly send to the wrong people. So expect some clean-up of your current list before you start. And a portal doesn’t replace the life of an association — someone still has to write the news and take the minutes. We make sure it then reaches the right members.
