“Which folder was that in again?”

That question costs you time every day. InVINity swapped a folder structure that had grown over twenty years for documents you find by what they are — not by where they once ended up. Cloud-based, accessible anywhere, connected to Business Central. And without resistance on the shop floor.

The transition to cloud-based storage was made easier, and staff adoption was faster too. We are very satisfied with the service and the approach.

Who is InVINity?

InVINity is an importer and distributor of world wines and spirits, formed in 2018 from the merger of Vineplus and Wines and More. Together, the two bring more than twenty years of expertise.

A house, then, where tradition and innovation meet — and where the administration had to grow along with the ambition.

The real risk was not in the technology

InVINity wanted to move to the cloud, and used that move to get rid of the folder structure. Over the years another folder had been added each time, until nobody could find their way around any more.

But the biggest concern was not technical. Simply carrying on with standard SharePoint would meet too much resistance on the shop floor — and a system people avoid solves nothing. On top of that, sales representatives on the road needed access to their documentation from anywhere.

The approach: metadata first, technology second

Together with the InVINity team, we determined which metadata really matters for their operation. Only then came the system. Documents are now searched and filtered on those attributes, regardless of where they are stored.

That turns out to be why it stuck: simple maintenance, an implementation without disruption, and an interface people pick up of their own accord. Multiple storage locations and competing versions are a thing of the past.

The integration that makes the difference

The integration with Microsoft Dynamics 365 Business Central links customer and supplier data directly to the documents. A contract is attached to the right supplier, an invoice to the right customer — without anyone dragging it there.

Manual retyping disappears, and all relevant information is within reach. That lets InVINity focus on what matters: delivering exceptional wines and spirits.

On the road, too

“Our people now always have access to their documentation from anywhere — very easy for our sales representatives on the road.”

What it delivers

Three things InVINity notices today

01

No more folder structure

Documents are found by what they are, not by where they were once saved. No more “which folder was that in” moments.

02

The same source everywhere

Sales representatives, office and management work with the same, correct documentation. One source, regardless of device or location.

03

Adopted without pushing

Thanks to the intuitive interface and their own metadata, staff came on board smoothly. No resistance, no shadow files in OneDrive.

Documents findable. Working day accelerated.
